Keep Every Dollar You Earned at the Pump
The fuel tax you already paid comes back to you, but only if you can prove it. A faded receipt in the door pocket is cash you're handing back. Snap a photo and HaulFile reads it for you.
The headache
Take a picture of the receipt and HaulFile pulls the date, gallons, station, and total right off it and drops it into your fuel math. No shoebox, no lost credits, no leaving your own money on the counter. A pro accounts for every gallon, and now that part's automatic.
What you get
- Per-fill-up entry tied to a state and a fuel type (diesel today)
- Receipt photos optional. Store them right in HaulFile for your records.
- OCR helper extracts the date, gallons, station, and total from receipt photos when you upload them
- Quarterly fuel summary by state. Gallons purchased, taxable gallons, base tax, surcharge tax.
- Surcharge states (KY / IN / VA) shown on their own line so you can see exactly what's owed
How the surcharge math works
KY, IN, and VA charge a surcharge on top of the base diesel tax. The surcharge is applied per taxable gallon, with no purchase-side offset, so it always adds to your liability. HaulFile stores the surcharge rate per state per quarter alongside the base rate, runs the math on its own, and shows it as a separate line on your worksheet.
Why the per-state fuel breakdown matters
Your tax owed per state is taxable-gallons × tax-rate, minus the tax you already paid at the pump in that state. Miss a fuel purchase, and a state thinks you owe more than you do. HaulFile shows your gallons purchased per state on the worksheet so you can spot a missing receipt before you file.
Rate honesty applies here too
Same publication-boundary lock as the IFTA page: new quarters carry their rates as PROVISIONAL until the operator cross-checks against iftach.org.
