HaulFile FAQ

Straight answers on quarterly IFTA filing, fuel tax, pricing, spreadsheet import, hardware, coverage, and the honest limits. If your question is not here, we are glad to help before you sign up.

What is HaulFile?

HaulFile is software that gets your quarterly IFTA filing and fuel tax done without the spreadsheet headache. You log miles and fuel by state, and HaulFile runs the per-state math so what you file is what you really owe, down to the dollar. It also tracks your compliance deadlines so nothing sneaks up on you.

Who is HaulFile for?

Owner-operators and small trucking fleets that run under IFTA. If you file quarterly fuel taxes and you are tired of doing it by hand at the kitchen table, it is built for you. It is a business tool for United States carriers, not a consumer app.

What does HaulFile cost?

Founding rate is $19 per truck per month, and the first 50 companies lock that rate for life. After that it is $29 per truck per month. You can start free with a 30-day trial and no credit card, and you only add a card when you are ready to keep going.

How does HaulFile help with IFTA filing?

Every mile and every gallon gets tied to a state. When you prepare a quarter, HaulFile multiplies your taxable gallons by each state current diesel rate, subtracts the gallons you bought there, and shows net owed or net credit per state. It handles the KY, IN, and VA surcharge on its own line the way the IFTA form does. When you mark a quarter filed, it locks a snapshot so the numbers never silently drift.

Do I need an ELD, GPS, hardware, or a long contract?

No. There is no hardware to buy, no ELD contract, and no long commitment. HaulFile is ELD-agnostic. If your ELD exports a daily summary, you can upload it. If you would rather type miles in from a paper log, that works too. You can start in minutes and cancel anytime.

Can I import from a spreadsheet?

Yes. You can upload a CSV export from your logbook or ELD and HaulFile parses it into per-state mileage rows. You can also snap a photo of a fuel receipt and the OCR helper pulls the date, gallons, station, and total off it.

Which states does HaulFile cover today?

The 48 contiguous United States. Canadian provinces are the next major build and are not covered yet, and Mexico is not an IFTA jurisdiction. The KY, IN, and VA surcharge states are handled, each on its own line.

What does HaulFile not do?

HaulFile does not file your return with any state for you, it does not pay your taxes, and it does not represent you in an audit. It is a preparation tool, not your accountant, lawyer, or filing agent. New quarter tax rates load as provisional until we cross-check them against iftach.org, and diesel is the only fuel on the form for now. You are still the carrier and you are responsible for what you file.
