Let the Audit Letter Come

An audit is where sloppy records turn into money owed. HaulFile keeps a locked snapshot of exactly what you filed and how the numbers were built. When they ask, you show them, and that's that.

The headache

The letter lands and most guys' stomachs drop, because an audit's only as scary as your records are weak. HaulFile locks down what you reported and how you got there, so you walk in with proof, not excuses. The law says keep your IFTA records four years. That's on you as the carrier, but HaulFile makes holding them and pulling them up a one-tap job instead of a fire drill.

What you get

  • Every action that changes a record is written to an immutable audit log (who, what, when, IP)
  • Filed quarters are LOCKED. The locked snapshot captures the exact rates and totals at filing time and never silently re-computes.
  • Two-factor sign-in (TOTP, with Google Authenticator, Authy, 1Password, or anything that does TOTP) is one click in Settings
  • Recovery codes if you lose your phone; one-time display, downloadable, never re-shown
  • HaulFile keeps your records as long as your account is open. The IFTA 4-year retention window is on the carrier, not on us. The full-account export + read-only mode after cancel are how we make meeting that obligation a one-click thing instead of a panic.

What 'locked snapshot' actually means

When you mark a quarter filed, HaulFile serializes the entire worksheet into a single JSON blob attached to that quarter. That blob is the source of truth from that moment on.

Two-factor and session safety

TOTP two-factor is opt-in. When you enable it, the next sign-in needs your password plus a 6-digit code from your authenticator app.

Tenant isolation, audited

Every data-returning Worker query is scoped to the authenticated company. We've gone through every route, every SQL statement, and every join.
